SERVPRO Team Fletcher is hiring a Mitigation Job File Coordinator!  The mitigation process involves helping business or homeowners whose structures have been damaged by storms, water, fire, mold and other causes through the process of clean up and removal/replacement of unsalvageable materials.  Our goal is to make it Like It Never Even Happened!  This office-based position needs a person who loves to help customers and is knowledgeable in construction/damage restoration processes or property insurance processes. The primary responsibilities of the Job File Coordinator are to monitor incoming damage mitigation leads through conversion to active job status, ensure all work is completed and accurately invoiced, and manage the job file documentation and status. The Job File Coordinator will work closely with Mitigation Management to maintain an accurate work-in-progress board and audit daily documentation for all job files. The Job File Coordinator will also review the scope, estimate, and job file documentation to ensure all program requirements for SERVPRO and various insurance companies are met and all work performed is accurately invoiced.
 
Key Responsibilities
  • Responsible for clear and efficient project communication with the customer, insurance adjusters, and project stakeholders
  • Daily project(s) oversight to include monitoring status, audit, and work-in-progress
  • Ensure digital job tracking file includes all necessary documentation throughout the job process
  • Create/review preliminary estimate using estimating software and updating as needed
  • Review and validate job site documentation 
  • Work closely with Project Managers to ensure thorough and accurate project documentation from beginning to end
  • Perform all job close-out activities, including coordination with accounting team to ensure proper invoicing 
  • Collaborate and assist with other departments, as needed
 
Position Requirements
  • High school diploma/GED (preferred)
  • Experience in the restoration, construction, or insurance industry is required
  • At least 1 year of customer service in an office-related experience is required
  • Exceptional customer service skills, strong administrative abilities, and excellent verbal and written communication skills required 
  • Experience in job file tracking systems a plus
  • Ability to multitask and to remain detail-oriented
  • Must be knowledgeable in Microsoft Office and Google/Chrome and able to learn multiple proprietary software systems quickly
  • Proficiency in using various digital tools and technologies to complete job tasks efficiently
 
Skills/Physical Demands/Competencies
This is a full-time sedentary role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, bend, climb stairs or stand on a stepstool as necessary.


Normal Working Hours, Additional Working Hours, and Travel Requirements
 
This is a full-time position, working hours varying between 7:00 a.m. and 5:00 p.m., Monday–Friday. This position may require longer hours and some flexibility in hours may be needed depending upon business needs.  This position does require the ability to perform on-call duties on a rotational basis during after-hours and weekends.

Compensation: $17.00 - $18.00 per hour
