- Monitor job file progress and audit status to ensure timely and accurate documentation.
- Maintain job file WIPs (work in progress) and oversee file coordination workflows.
- Review, validate, and finalize field documentation for project accuracy.
- Prepare detailed, itemized invoices and complete job close-outs.
- Serve as the communication hub between production teams, customers, and insurance clients/adjusters.
- Ensure compliance with client and insurance carrier requirements.
- Maintain both internal and external communications for project status updates.
- 2+ years of administrative or office-related experience and business experience.
- Experience in the commercial cleaning, restoration, insurance, or service industry is desired.
- Experience with writing estimates, job file processes, and quality assurance is a plus.
- Outstanding written and verbal communication skills, including proper pronunciation, grammar, and a consistently courteous and professional tone.
- Ability to remain calm and professional during tense or stressful situations.
- Excellent organizational skills with strong attention to detail.
- Highly self-motivated and goal-oriented & comfortable working in a fast-paced, team-oriented office environment.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Ability to learn new software quickly, including Xactimate and proprietary programs.
- Ability to successfully complete a background check (subject to applicable law).
- Must successfully pass a pre-employment drug test.
