Summary
The Construction Coordinator is responsible for tasks related to customer calls, project monitoring, tracking, coordination, and project audit. This role also includes general office duties such as drafting correspondence, filing, and creating reports.


Primary Responsibilities
·         Handle general phone calls and greet visitors to the office, ensuring a positive and welcoming experience.
·         Efficiently dispatch and track lead calls and job referrals to appropriate operational teams, ensuring timely response and resolution.

·         Promptly receive and enter lead calls and job referrals (First Notice of Loss - FNOL) into the system, ensuring accuracy and completeness.
·         Assist with customer service and management of the customer experience
·         Provide exceptional customer service by addressing inquiries, resolving issues, and maintaining a friendly and professional demeanor when interacting with customers.
·         Monitor and ensure client requirements are followed
·         Assist with scheduling all warranty activities
·         Enter lead/jobs into the operating system and make sure all information in the project is correct
·         Educate customers on the process
·         Review and validate project file documentation
·         Maintain customer and client communications
·         Regularly review and analyze the Work in Progress (WIP) board to identify trends, bottlenecks, or areas for improvement in the dispatching process.
·         Collaborate with teams to coordinate the production schedule and on-call schedule, ensuring efficient resource allocation and timely job completion.
·         Monitor the logistical aspects of job referrals to ensure that they progress smoothly and meet customer expectations.
·         Ensure all paperwork is complete with the customer and client
·         Interface with Subcontractors for availability
·         Sign up new Subcontractors and maintain insurance and licensing
·         Assist in identifying and qualifying resource providers
·         Maintain Work-in-Progress (WIP) board
·         Maintain internal and external communications
·         Assist in collections activities
·         Perform project close-out
