The Role:
Coordinate
all aspects of the reconstruction division, including managing daily operations, scheduling project managers and subcontractors, construction job set-up, job contracts, billing process, and job management and tracking. Ensure a high quality of service in all dealings with customers, clients, subcontractors, resource providers, and company employees involved in construction services.
 
Primary Roles and Responsibilities
 
  • Customer Satisfaction
  • Assist with customer service and management of the customer experience.
  • Monitor and ensure client requirements are followed.
  • Assist with scheduling all warranty activities.
  • Project Initiation
  • Enter lead/jobs into the operating system and make sure all information in the project is correct.
  • Schedule PM initial visit with customer.
  • Educate customers on process.
  • Review and validate project file documentation.
  • Project Planning
  • Confirm with PM project scope of work is complete.
  • Maintain customer and client communications.
  • Support PM ensuring customer and client agreement on scope and estimate.
  • Ensure all paperwork is complete with customer and client.
  • Ensure estimates are distributed to all necessary parties.
  • Interface with Subcontractors for availability.
  • Sign up new Subcontractors and maintain insurances and licensing.
  • Acquire proper permits as necessary and ensure all correct procedures are being followed with local municipalities.
  • Project Execution
  • Run weekly WIP meetings with follow up notes. 
  • Update project schedule and timeline.
  • Assist identifying and qualifying resource providers.
  • Validate completed PO documentation.
  • Update contract status with change orders and keep customer and client advised.
  • Maintain Work-in-Progress (WIP) report.
  • Maintain internal and external communications.
  • Maintain communication log.
  • Prepare project reports.
  • Upon project completion review file documentation and update as necessary.
  • Manage collections activities.
  • Perform project close-out.
  What You Must Have:

  • Three or more years of administrative, organizational office-related experience.
  • Proficiency in Microsoft Office (i.e. Outlook, Word, Excel, PowerPoint).
  • Knowledge of or ability to learn new software, including Xactimate and other restoration proprietary software.
  • An absolutely strong work ethic, high energy, and the drive to go the extra mile to achieve excellence. 
  • A low drama threshold.  We are here to enjoy each other and our work, not create problems.

  • The desire to learn, grow and develop your knowledge and skills. 
  • Outstanding written and verbal communication skills, including proper pronunciation and grammar.

  • Excellent organizational skills and strong attention to detail.
  • Ability to work in a fast-paced, team-oriented office environment.
  • Ability to complete an acceptable background check subject to applicable laws.
  • QuickBooks experience a plus.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.

Compensation: $25.00 - $35.00 per hour
