Mitigation Administrative Assistant
- Provide administrative support to the Mitigation Department, Project Managers, and Estimators
- Assist with creating, reviewing, and updating estimates and job documentation in Xactimate
- Upload and maintain job documentation, photos, drying logs, estimates, invoices, and other required documents
- Work within TPA and insurance carrier platforms, including Contractor Connection, Alacrity, and other similar programs
- Monitor job assignments and ensure required documentation is submitted within program deadlines
- Communicate with insurance adjusters, TPA representatives, customers, and internal team members
- Assist with job file audits to ensure completeness and compliance
- Track outstanding documentation, estimates, approvals, and invoices
- Enter and maintain accurate job information in company software and TPA portals
- Assist with scheduling and coordinating mitigation projects as needed
- Follow up on approvals, supplements, and outstanding items
- Maintain organized and accurate electronic job files
- Support the mitigation team with other administrative duties as assigned
- Previous administrative experience in the restoration, mitigation, insurance, or construction industry preferred
- Experience using Xactimate is required
- Experience working with TPA programs, including Contractor Connection and Alacrity, is strongly preferred
- Knowledge of water, fire, mold, and other mitigation services preferred
- Understanding of insurance claims and restoration documentation is a plus
- Strong computer skills and ability to learn multiple software platforms
- Excellent organizational and time-management skills
- Ability to manage multiple projects and deadlines in a fast-paced environment
- Strong attention to detail and accuracy
- Professional written and verbal communication skills
- Ability to work independently while also functioning effectively as part of a team
