What We’re Looking For

  • Professional Experience: A minimum of 2+ years of administrative experience in a professional business environment. 
  • Industry Savvy: Experience in the commercial cleaning, restoration, construction, insurance, or relative industry is highly desired.
  • Communication Pro: Superb customer service skills with strong verbal and written communication.
  • Tech-Minded: Working knowledge of business software's; experience with estimates and job file processes is a plus.
Your Impact & Responsibilities

  • Rapid Response: Act as the first point of contact for new leads and job referrals, providing excellent customer service from the start.
  • Crew Coordination: Dispatch lead calls to production crews and coordinate the daily production and on-call schedules.
  • Resource Management: Monitor logistics, order uniforms, and schedule subcontractors to keep projects moving.
  • Documentation Excellence: Review and validate field documentation to create preliminary estimates and job file backups.
  • Compliance & Auditing: Monitor Work-in-Progress (WIP) status and ensure all client requirements are met for final audit uploads.
  • Financial Follow-through: Update collection spreadsheets and follow up with customers and insurance reps to ensure smooth project closing.
  • Office Operations: Maintain internal and external communications while preparing detailed job file reports for management.
  • Team Support: Organize weekly time cards for approval and take ownership of unique tasks as they arise.
Work Environment: This role is in a professional office environment, though flexibility for occasional site visits is required based on business needs.
