This role is perfect for a restoration professional who excels at the administrative and compliance side of the business. We are looking for an expert in documentation and industry-standard compliance who is looking for a professional environment that offers the flexibility of a Remote or Hybrid schedule.
The Role
As a Project File Coordinator, you will be the "anchor" for our field projects, ensuring that every job file tells a complete and professional story from initial loss to final billing. You will work closely with our production teams to ensure all data is captured and audit-ready.
- Manage the lifecycle of the project file within DryBook™, ensuring all photos, moisture logs, and field notes are present, accurate, and meet franchise standards.
- Use Xactimate to draft and refine preliminary estimates, ensuring all services performed are accurately captured for insurance carrier review.
- Perform daily audits of job files to ensure we are meeting all internal and program-specific SLA requirements.
- Monitor job status daily to identify and resolve any documentation gaps, working behind the scenes to keep projects moving toward final billing.
- Act as a professional point of contact for homeowners and adjusters, providing clear updates and maintaining project momentum.
What You Bring
- Significant experience working within the SERVPRO® system, specifically with DryBook™and franchise-based workflows.
- Proficiency in Xactimate is a requirement. You should understand how to translate field notes into accurate line items.
- A "sharp eye" for detail—you understand that a perfectly documented file is the key to a successful restoration project.
- Excellent written and verbal communication skills, with the ability to manage documentation flow for multiple projects simultaneously.

Requirements
- High school diploma or GED.
- Minimum 1–2 years of experience in restoration file coordination or estimating.
- Ability to pass a background check.
