As an Administrative Assistant, you would be asked to assist office teammates and all customers by handling office tasks, providing polite and professional assistance via phone, text and e-mail, and generally being a helpful and positive presence in the workplace.

Key Responsibilities:

  • Answer incoming phone calls, text messages, emails and respond to customer inquiries in a professional manner
  • Communicate effectively with insurance adjusters regarding claims and build positive relationship
  • Schedule jobs and maintain job calendars
  • Prepare and manage job files, including documentation for insurance claims
  • Communicate effectively with field staff, vendors, and customers
  • Assist with billing, invoicing, and payment tracking/collecting
  • Perform detailed and accurate data entry
  • Provide administrative support to management as needed
Position Requirements:

  • 1+ years of previous experience in an administrative or office assistant role (water/fire damage restoration, construction, or insurance industry experience is a MUST)
  • Bilingual English/Spanish is a PLUS
  • Proficiency in Google Docs, Sheets and general computer skills
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High school diploma/GED (preferred); Associate’s degree preferred
  • Holding a valid California driver license is a MUST
Skills/Physical Demands/Competencies:

  • This is a role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary. Ability to successfully complete a background check subject to applicable law is a MUST.
Compensation: $20.00 - $23.00 per hour based on experience

Work Hours: 8:00 AM - 5:00 PM
