- Oversee and maintain accurate job file documentation from lead conversion to project completion.
- Communicate clearly and efficiently with customers, production crews, and stakeholders to ensure project success.
- Create and review estimates based on project scope and supporting documentation.
- Monitor active projects to ensure compliance with client requirements and internal standards.
- Audit job files daily to confirm all work is properly documented and invoiced.
- Maintain an up-to-date Work in Progress board to track project statuses.
- Assist in the final review and audit of completed job files before invoicing.
- Support cross-departmental collaboration as needed.
- High school diploma or GED (required).
- At least 1 year of customer service and/or office-related experience (preferred).
- Strong administrative and multitasking skills with keen attention to detail.
- Proficiency in relevant computer applications and digital tools.
- Excellent verbal and written communication skills.
- Experience in the restoration, construction, or insurance industries is a plus.
- Predominantly a sedentary office role in a fast-paced environment.
- Occasional filing tasks may require lifting, bending, or standing.
- Ability to work varying hours (Monday–Friday, 7:00 a.m. – 6:00 p.m.) with flexibility as needed.
