 Primary Roles and Responsibilities

  • Coordinate travel for employees, including hotel, rental cars, and per diem. 
  • Coordinate logistics for equipment, consumables, and other resources. 
  • Travel to locations to train clerical administrators on jobs. 
  • Review invoicing of each job daily from trained clerical administrator. Confirm adjustor, client, and other key stakeholders are provided with daily updates for each job.
  • Reconcile subcontractor invoices for each job weekly to turn into accounting.
  • Enter information in Time and Material application when no clerical administrator is onsite. 

Additional Roles
 
  • Vetting of subcontractors using mapping software by client address.
  • Coordinate with executive assistant to ensure that subcontractors submit the required documentation. 
  • Coordinate with executive assistant to ensure the clients receive our W9 and certificate of insurance. 
  • Maintain accurate and updated information on the large loss spreadsheet. 
  • Assign referral jobs to partner franchises with email documentation of all pertinent documents that need to be signed. 
  • Confirm daily reports from partner franchises are received and update client accordingly. 
  • Maintain referral excel spreadsheet with accurate and updated information. 

Education & Experience Required

  • Bachelor’s degree or equivalent experience 
  • A minimum of 3-5 years of administrative experience. 
  • Exceptional customer service skills, strong administrative abilities, and excellent verbal and written communication skills required. 
  • Working knowledge of current business software technologies is required. 
  • Experience in the restoration, construction, or insurance industry is a plus. 

Physical and Work Environment Requirements
This is a largely sedentary role in an office environment. However, filing is required. This requires the ability to lift files, open filing cabinets, and bend or stand on a step stool as necessary.

Normal Working Hours, Additional Working Hours, and Travel Requirements 
This is a full-time position working hours varying between 8:00 a.m. and 5:00 p.m. Monday through Friday. This position may require longer hours, and some flexibility in hours may be needed, dependent upon the business needs. Travel is up to 30%, primarily local, although some out of town and overnight will be required, up to 1 week at a time. The contents of this Job Description have been discussed with me and I have received a copy. Compensation: $60,000.00 - $70,000.00 per year
